What personal data we collect and why we collect it

Contact and enquiry forms

In accordance with the applicable legislation under Regulation (EU) 2016/679 of the European Parliament and of the Council (General Data Protection Regulation - GDPR) and Act No. 18/2018 Coll. on personal data protection, we process personal data that you voluntarily provide to us through our contact and non-binding enquiry forms.

This data (in particular name, surname, e-mail address, telephone number and the text of your message/enquiry) is processed exclusively for the purpose of:

processing and handling your enquiry,
preparing a price quote for promotional products with custom print,
communication related to your request.

Without providing this data it would not be possible to prepare a price quote or respond to your enquiry.

Cookies and analytics

Cookies are small data files that are stored on your computer or mobile device when you use our website. They allow us to optimise the operation of the website, adapt it to your preferences and analyse its traffic.

In order to continuously improve our services, analyse traffic and personalise marketing, we use the following tools on our website:

Google Analytics: A tool for analysing traffic, user behaviour on the site and marketing effectiveness. Data is anonymised and processed in accordance with Google’s policies.
Microsoft Clarity: A tool that helps us better understand how users interact with our website through anonymous session recordings, heatmaps and analytical reports. All personal and sensitive data entered into forms is automatically masked and protected before being sent to Clarity.
Google Ads (Remarketing & Conversion Tracking): This tool allows us to measure the success of our advertising campaigns and show you relevant advertising based on your previous visit to our website.
Meta Pixel (Facebook and Instagram): A measurement tool from Meta that helps us evaluate the effectiveness of advertising and show relevant advertising on the Facebook and Instagram platforms based on your visit to our website. We divide cookies into three categories: essential (required for the basic operation of the website and form submission, always active), analytical (Google Analytics, Microsoft Clarity) and marketing (Google Ads, Meta Pixel). Analytical and marketing cookies are only activated after you give your consent. Until consent is given, they are set to denied via Google Consent Mode v2.

You give your consent to the use of cookies voluntarily through the cookie banner. You may change or withdraw your consent at any time via the “Cookie settings” link in the website footer, or adjust or delete cookies directly in your web browser.

Your personal data processed under this Statement is processed and stored exclusively within RMS Promotion s.r.o. (operator of the online shop and the Promotex.sk brand) and we do not provide it to third parties for commercial purposes.

For the smooth operation of our services and fulfilment of contractual relationships, however, your personal data may be provided to the following trusted partners (recipients) to the extent strictly necessary:

Mgr. Helena Kabatiarová, Kollárova 13, 903 01 Senec - provider of accounting services for our company (invoicing and tax documents).
Providers of server and programming services - in particular the hosting company Websupport s.r.o. (ensuring the operation of the website and servers) and Resend Inc. (ensuring the technical sending of e-mail enquiries from forms).
Providers of analytical and marketing tools - Google LLC and Microsoft Corporation in respect of anonymised analytical and cookies data.
FIO banka, a.s. - in connection with the execution of payments and banking transactions.

We will not publish or provide your personal data to other entities without your consent, unless such an obligation is imposed on us by a generally binding legal regulation.

How long we retain your data

We process and retain your personal data only for the period strictly necessary to fulfil the purposes for which it was collected (handling an enquiry, sending a quote, fulfilling an order), but no longer than the period determined by the applicable statutory and tax regulations (e.g. accounting documents for a period of 10 years).

In the case of processing personal data on the basis of your consent (e.g. optional cookies), we process this data only until your consent is withdrawn or an objection is lodged. Anonymised analytical data in Google Analytics and Microsoft Clarity services is retained in accordance with their standard policies (generally 14 months).

What rights you have over your data

As a data subject, you have extensive rights under the GDPR and the Personal Data Protection Act:

Right of access: You have the right to request information about what personal data we process about you.
Right to rectification: You have the right to request the correction of inaccurate or the completion of incomplete personal data.
Right to data portability: You have the right to request the transfer of your data in a structured and machine-readable format to another controller.
Right to restriction of processing: You may ask us to restrict processing in cases defined by law.
Right to erasure (right to be forgotten): You have the right to request the erasure of personal data where it is no longer necessary for the original purposes, or where you have withdrawn your consent and there is no other legal basis for its processing. This does not apply to data we are required to retain by law or for administrative/security reasons.
Right to object: You have the right to object at any time to the processing of personal data based on legitimate interests, including direct marketing.

If you suspect that we are processing your personal data in breach of the law, you have the right to lodge a complaint with the Office for Personal Data Protection of the Slovak Republic.

The Controller processes personal data with the utmost respect, discretion and high technical security, so that your information is safe from misuse, leakage or loss.
